There are three different user types across smartcrowds - Employees, External Users and Kiosk Users.

Members of your organisation should be assigned as an Employee. Assigning your team members as Employees rather than External users allows you to put extra security measures in place when it comes to working with individuals you may be collaborating with that are not directly employed by your organisation.

External users are often assigned to partners, contractors, interns, etc. A separation in External users and an organisation's employees allows for easier and clear categorisation of your users. Each Crowd has the option of making it either accessible or not accessible by external users. This gives an added layer of security around Crowd membership and means there is less risk of an external user being added to a crowd that may be confidential within the business.

Kiosk Users are only ever used for Pulse questions. A Kiosk user is assigned to one Crowd, and when that user is logged into a tablet device, the Pulse questions scheduled to that Crowd will appear. See more on creating and linking a Kiosk User to a Crowd here.

Note that adding, editing or deleting a user smartcrowds is only available to users with the Admin role.

Go to Admin > Users > Add User > Select the type of user you wish to add > Fill in the relevant fields and permissions as shown below > Save.

Kiosk:

For a Kiosk User, you will only need to insert a name to identify the kiosk by, an email address, and then select a password. You will only be able to assign one Crowd here as only one set of questions can be assigned per kiosk.

Employee/External user:

For Employees and External Users, more options are available. As well as personal information such as Name, Telephone, Position, this is also where you will assign Admin permissions, access to Reports and assign roles for certain crowds. You can either assign a password for the user yourself and give them the information (although we suggest they change their password upon the first login), or you can choose to send them an Email Invitation, where a link will be provided to them to log in and create their own password.

From this screen, you can also assign Membership to Crowds and Categories. Once you have ticked the desired boxes under Member Of (for crowds and Categories), you can assign Group Creator, Crowd Creator and Author permissions for the relevant Crowds.
